Accept the use of cookies by clicking the Accept and close button at the bottom of the page.

As a contractor you will be conducting work unsupervised, therefore it is important to understand your obligations while onsite.

The contractor system assists in providing and recording information you require before starting work. The system also tracks personnel on site in case of an emergency.

Start by clicking the CONTRACTOR button.

Sign in using your Username and Password that were emailed to you.

If you have not received this information, inform your employer, site contact or a JLL representative.

Click on the SIGN IN button.

Before you can start work you need to complete a number of inductions. Your generic induction should have been completed before coming to site. If you have not completed the required inductions you will be asked to do so now.

Click on the Please click here to complete the induction text.

This will open the induction page in a new window.

Complete all required inductions (marked with a grey dot) under the TRAINING RESOURCES heading.

Once successfully completed, close the Induction Page window and return to the Sign In screen.

A site specific induction and assessment is required before conducting work.

View the induction content by clicking on the Next button at the bottom of the page. Then answer the following assessment questions.

Each task you do on site is regarded as an "activity". Each activity will require its own risk assessment and work approvals.

Once the activity is complete you are required to return to this screen to "complete activity" and sign out.

To start a new activity, click on the START ACTIVITY button.

Select the type of activity that you will be doing from the drop down menu.

If you are doing reactive maintenance or planned maintenance you will need to supply a valid Work Order Number. This is indicated with an asterisk (*).

If you are doing general / recurring work, select this option from the drop down and then click on the START button.

You will be asked to indicate if you are doing any high risk work activities, such as:

  • Working at heights
  • Hot work
  • Working in a confined space
  • Electrical work
  • Etc.

Click on all that apply. You will be asked to provide details later on in the process.

If there are no high risk work activities, click on the None of the above button.

Then click on the NEXT button.


If you have selected an activity that requires a license or specific authorisation that you do not have prior approval for, you will be asked to provide details.


Supply the required details and then click on the NEXT button.

NOTE: Send you license details to your employer or JLL contact to update your records.

The next step is to provide details of how you will conduct the work activity safely. You can do this by:

  • Using an existing SWMS
  • Building a new SWMS
  • Uploading a SWMS.

NOTE: If your work activity does NOT involve any high risk work activities or licenses you will be given the option to continue without submitting a SWMS into the system.

Use this option if you have previously logged into this site and either built or uploaded a SWMS for the same task.

Click on the USE EXISTING SWMS button.


Search for the required SWMS by typing in the SWMS description and/or the date used.

Click on SEARCH.

Available SWMS will be listed below the BACK and SEARCH buttons.

NOTE: If there are no suitable SWMS, click on the BACK
button and either upload a SWMS or build a SWMS.

Click on the View icon (>) to confirm that the SWMS is suitable for the task and current conditions.


If the SWMS is suitable, click on the SELECT button, or click on the BACK button to view a different SWMS.


Depending on the format of the existing SWMS, you may also be given the option to use it as a template.

Click on the USE THIS SWMS AS A TEMPLATE button.

Edit and add steps as described in the Build a SWMS section (Step 7b).

Use this option to build a new SWMS for the task.

Click on the BUILD A SWMS button.


Give the SWMS a descriptive title (you may want to use it again).

Type in the name of the Job supervisor.

Click on the ADD STEP button.


Briefly describe the first step in the Description field.

Type in the hazards associated with this step in the
Hazards field.

List the Controls that must be in place to eliminate the hazard or reduce the risks associated with the hazard to as low as reasonably practicable.

Click on the SAVE button.


Click on a step to edit or delete it.


And then click on the DELETE or SAVE button.

 

 


Repeat this process to cover each step of the task and complete the SWMS.

When you are finished click on the SAVE button.

Use this option to upload a SWMS from your company's website, SWMS register, or your mobile device.

Click on the UPLOAD A SWMS button.


Type in a descriptive name for the SWMS.

Click on the Choose file button.

Navigate to the file. Click on the file name and click on
Open.

Click on the SAVE button.

Where the Contractor has been set up in the system to allow SWMS by number, a fourth option will be available.

Click on the ENTER A SWMS # button.


Type in the SWMS description and the SWMS number from your company's SWMS register.

Click on the SAVE button.

If you selected any high risk activities at Step 7, you will be asked to complete Permit details.

Note: If the site uses Corrigo for the permit system you will be supplied with a link.

Complete the appropriate company's permit and enter the permit number here.

Select the appropriate response to the questions (these will vary depending on the activity).

Click on the SAVE button.


If you selected No for any of the questions you will be asked to confirm that suitable controls are in place for the identified hazard.


When you have finished entering all the permit details, click on the CONTINUE button.

This concludes the Contractor sign in process.

If there were no Permits, you will see this screen.

 

If you entered Permit details, you will see this screen.

Email permits to the Facility Manager, then ...

Click on the Site Home button at the bottom of the page.

From the Site Home Page you can review the:

  • Site contacts

  • Site Documents

  • SWMS

  • Induction Card

When the task is finished, return to the Site Home Page.

Log in using your Username and Password (if necessary).

Click on the ACTIVITY COMPLETE button.

Click on the CONFIRM button.

Click on LOG OFF if you are leaving the site, or click on START ACTIVITY if you have another task to complete.
